Privacy notice — contact form
This notice covers the enquiry form on this website. It does not cover the EazyMark application itself, which schools use under a separate data processing agreement.
Who we are
EazyMark is the data controller for the details you send through this form. You can reach us at admin@eazymark.co.uk — a mailbox a person reads, and the fastest route to us about anything on this page.
Our full corporate and regulatory details are being finalised and will be published here. If you need them sooner — for a DPIA, a supplier check or your DPO's records — email us and we will send them to you.
What we collect
Only what you type into the form:
- your name and work email address;
- your school or trust, and your role, if you give them;
- how many teachers would use EazyMark, your exam board and your timescale;
- anything you write in the message box.
We ask you to type your email twice because that address is where our reply goes — a typo would send our answer, quoting your enquiry, to a stranger. The second copy is compared and then discarded.
Please don't include pupil details. This form is for talking to us about your department. It is not part of the marking service, and nothing you send here should identify a student.
Why we use it, and our lawful basis
We use your details for one purpose: to read your enquiry and reply to it. We do not use them for marketing, we do not add you to a mailing list, and we do not sell or share them for anyone else's purposes.
Our lawful basis is legitimate interests (UK GDPR Article 6(1)(f)) — ours in responding to someone who has asked to hear from us, and yours in getting an answer. We think this is the basis you would expect, because you started the conversation and the only thing we do with your details is finish it. If you would rather we did not hold them at all, tell us and we will delete them.
Who else handles it
Your enquiry reaches us as an email. Two service providers process it on our behalf, on our instructions only:
- Amazon Web Services (Amazon SES)
- Sends the email from our website to our mailbox. Processed in the UK/EU region we operate in (eu-west-2, London).
- Microsoft 365
- Hosts the mailbox the enquiry arrives in and where our reply is written.
No one else receives it. In particular, your enquiry is not written to any EazyMark database — we create no enquiry record, no CRM entry and no profile from it. It reaches us as an email and is handled as one.
Being precise about what that means: an email is not a single object in a single place. Amazon SES processes and relays the message in transit, and Microsoft 365 may hold copies of a mailbox item beyond the visible mailbox — in Recoverable Items, or under a retention policy — as part of running the service. Those operational copies are governed by those providers' own controls, not by any system we have built. What we can say without qualification is that EazyMark itself creates no record of your enquiry outside that mailbox.
How long we keep it
We have not set a fixed period, so here are the criteria we apply instead. We keep your enquiry while we are in touch with you about it, and for a reasonable period afterwards in case you come back to us or we need to show how we responded. Once it is no longer needed for either, we delete it. You can ask us to delete it sooner at any point — see below.
It lives as an email in a Microsoft 365 mailbox. Microsoft may hold operational copies beyond the visible mailbox — in Recoverable Items, or under its own service controls — for a period governed by Microsoft rather than by us.
Your rights
Under UK and EU data protection law you can ask us to:
- give you a copy of the details we hold about you (access);
- correct anything that is wrong or incomplete (rectification);
- delete them (erasure);
- restrict what we do with them while a question is being resolved;
- object to our using them — and because our basis is legitimate interests, you can object at any time and we will stop unless we have a compelling reason not to, which for a contact enquiry we will not.
Email admin@eazymark.co.uk and we will respond within one month. There is no charge.
Complaints
If you are unhappy with how we have handled your details, please tell us first so we can put it right. You also have the right to complain to a data protection regulator. In the UK that is the Information Commissioner's Office, at ico.org.uk/make-a-complaint or on 0303 123 1113; elsewhere it is the supervisory authority for your own country. You can go to them without coming to us first.
Automated decisions
We do not make any automated decision about you, and we do not profile you, on the basis of a contact enquiry. A person reads it and a person replies.
